CONFERENCE GUIDE

What deliverables should you request after a conference?

Filming more does not automatically create useful content. Every asset needs a channel, an audience and a publishing moment.

Direct answer

A practical delivery can combine a recap, interviews, vertical edits, photography and an organised media library. Full talks, subtitles, raw footage or rapid-turnaround assets must be agreed beforehand because they change the coverage, sound and post-production plan.

Deliverables with a clear job to do

  • A recap or aftermovie showing the scale, people and key moments.
  • Edited interviews explaining conclusions, projects or testimonials in greater depth.
  • Vertical edits built for specific ideas instead of last-minute crops of the horizontal master.
  • A varied photography gallery for press, LinkedIn, internal communications and future editions.
  • An organised selection of footage and files that the team can reuse.
  • Full talks only when the required production, sound and delivery have been planned.

The delivery plan starts before filming

If an asset is needed during or immediately after the event, the download, selection and edit workflow must be reserved. Formats, subtitles, music, file naming and approvers should also be agreed before the first version is delivered.

  • Which asset is delivered first and for which channel.
  • The duration and orientation of every version.
  • Who approves the work and how many review rounds are planned.
  • How interviews, photographs, raw footage and masters are organised.

Conference projects with different deliveries

Siemens Healthineers at SERAM Congress 2024 combined a 2:45 recap, interviews and social adaptations. The wider SERAM Congress project included a recap, edited interviews and a communications master. Oncology Seeds Congress 2026 organised the production, interviews and edits by day.

Typical conference questions

Should every talk be recorded in full?

Not always. Talks intended for publishing or archiving need a specific production and sound plan. A recap may only require selected moments and statements.

How many versions should I request?

Only versions with a real use. Define the channel, orientation, duration and message of each one before the event.

Should interviews be subtitled?

It is useful when they will be watched without sound or need greater accessibility. Subtitles and the review of names and technical terms should be included in scope.

How are files delivered?

Using an agreed folder, naming, master and version structure. Raw footage is included only when specified in the proposal.

Coverage and examples

Define the delivery before doors open.

Send the agenda, spaces, interviews and publishing channels. I will help separate necessary assets from work that would add no useful output.
