AGENCY CHECKLIST
The audiovisual brief that prevents unnecessary rework
A useful brief does not need to be long. It needs to make the decisions affecting production, delivery and approval clear.
Direct answer
An agency can request a proposal with the date, city, schedule, objective, scope and deliverables. To lock production, the owners, access, key people, technical specifications, review process, confidentiality and approval chain must also be defined. Unknown items can be marked as pending.
1. Objective and scope
- What the asset needs to achieve and who will watch it.
- What the supplier covers: pre-production, filming, photography, sound, editing or adaptations.
- Must-have moments, people, product and messages.
- What is explicitly outside scope so later deliverables are not assumed.
2. Production and owners
- Date, city, venue, agenda, access, build schedule and operational contact.
- Concurrent rooms or actions and the crew expected to cover them.
- Spokespeople, interviews, image permissions and venue restrictions.
- Role in front of the client: visible supplier, integrated partner or fully white-label.
- Confidentiality, naming conventions and communications channel.
3. Deliverables and approval
- Asset list with duration, orientation, resolution, language and channel.
- Brand assets, logos, fonts, music, subtitles and references.
- First-version deadline and priority order for deliveries.
- The person consolidating feedback and the number of review rounds.
- Folder structure, masters, project files and raw footage where required.
How the brief changes with the job
Intact at IFEMA 2025 required coordination across an aftermovie, interviews and photography. RSA at IFEMA 2025 focused on interview direction, editing and mix for a 2:20 asset. Manjare at Alimentaria 2026 combined photography, vertical video and a commercial media library. A single field called “event video” would not describe any of these scopes.
Typical agency questions
Can you work without showing OrtegaProds?
Yes. The client-facing role and communications channels are agreed beforehand. I can work as a white-label supplier.
Can you sign an NDA?
Yes. Confidentiality agreements are reviewed and signed before sensitive material is received or produced.
Can you hand over footage to our editors?
Yes. We define the folder structure, naming, codec, audio, proxies and raw footage the post-production team needs.
What if the budget has not been approved yet?
Crew and deliverable options can be presented by priority. Each option should state clearly what its scope covers.
Can you travel outside Valencia?
Yes. Travel, schedules, accommodation and logistics are included in the proposal when the project requires them.
Production for agencies
Send the brief, even if some items are pending.
I will return the missing questions and a proposal separated by scope, crew and deliverables.
